Most slow quotations are not slow because the supplier is busy. They are slow because the inquiry is missing something the supplier needs before a price can be given. Here is what to include.
1. The OE number, or a photo of it
The OE number stamped on the old unit is the single most useful thing you can send. It identifies the part exactly, and it lets the supplier check whether the number has been superseded by a later revision.
If the number is unreadable, a clear photo of the label usually works. Take it square-on, in good light, with the whole label in frame.
2. The vehicle details behind the number
The same alternator casting can be fitted to several models with different pulley configurations. Giving the make, model, year and engine code alongside the OE number removes that ambiguity.
- Make, model and model year
- Engine code or displacement
- Transmission type, where the part differs between them
- Left- or right-hand drive, where relevant
3. Quantity and destination
Quantity drives the unit price. Destination drives the freight cost, and for some routes it also determines which shipping method makes sense. An inquiry without a destination can only ever be half-answered.
If you are still exploring, say so. "I need 20 pieces to Hamburg, but I am comparing suppliers" is a completely workable inquiry.
4. Any constraint you already know about
If your customer needs the goods before a specific date, or you need a particular brand line, or the last shipment arrived with a problem, say it up front. Constraints stated early are easy to design around; constraints discovered at the packing bench are not.
What a good inquiry looks like
It is rarely longer than six lines. Part number, vehicle, quantity, destination, deadline, and the question you actually want answered. That is a same-day answer in most cases.
